Common Issues a Conference Ombuds Helps Resolve

By Zoe Doran, MWI’s Ombuds Program Coordinator

A conference ombuds can help you create a more respectful, inclusive, and effective conference experience. Conferences bring people together to share ideas and build professional connections, but they can also surface challenges. Having a confidential, impartial resource available supports attendees and strengthens your event overall.

In our experience, most attendees reach out to an ombuds to talk through concerns and explore their options. Early conversations can help prevent issues from escalating and help individuals decide how to move forward. Ombuds also provide valuable feedback to organizers, helping improve future conferences and encouraging repeat attendance.

Based on our experience serving as conference ombuds, here are some common reasons attendees reach out:

Interpersonal conflicts

  • Communication breakdowns, especially when expectations are unclear or misaligned
  • Concerns involving someone in a position of power, such as a mentor, sponsor, or senior colleague
  • Inappropriate or unwelcome behavior, including harassment or microaggressions

Concerns about the conference environment

  • Questions about how the Code of Conduct applies in specific situations
  • Barriers for attendees with disabilities, including physical access, captioning, or sensory considerations
  • Reports of problematic or exclusionary content in sessions or panels
  • Requests for changes to conference structure, such as more opportunities for structured networking
  • Blurred boundaries in networking environments, especially at social events

Seeking guidance or a sounding board

  • Talking through an uncomfortable interaction
  • Having a confidential space to be heard
  • Exploring options or sharing feedback without triggering a formal complaint

An ombuds provides real-time support to attendees while offering organizers insight into how the conference experience can be improved.
